Veterinary Practice Compliance Software: What to Use for Licences, Drug Records and Client Reminders (2027)

ExpiryEdge is the one tool that covers the dates, renewals and outside documents across a vet practice's three compliance problems: licences and DEA registrations, OSHA, drugs and radiation safety, and pet vaccine reminders. Each DVM gets a WhatsApp 90 days before their DEA registration expires, with a no-login link to upload the new certificate. The dosimetry provider and x-ray engineer upload their reports the same way.

It doesn't keep a controlled drug log or send booster reminders from your PIMS. For CE hours, use CE Broker where your board does. For OSHA and infection control training, Compli Vet leads, with VetSnap or CUBEX for the drug log. If you need booster reminders sent to thousands of owners from your PIMS, PetDesk is the strongest US choice, and PetsApp suits UK practices.

We make ExpiryEdge, so it shows up in all three answers below. Every claim about another vendor is linked to that vendor's own page, and we read those pages on 7 November 2026.

Quick verdict
Use ExpiryEdge to keep every vet licence, DEA registration, dosimetry report and drug inventory date current, with vets uploading renewals from a link. Pick Compli Vet if you need OSHA and infection control training. PetDesk suits US practices sending booster reminders to thousands of owners from the PIMS.

Five jobs ExpiryEdge does in a vet practice

The PIMS and drug log keep their jobs; ExpiryEdge holds the dates between them

ExpiryEdge's job is the dates and documents that fall between your PIMS, your drug log and your training platform. A few ways vet practices use it:

  • A WhatsApp message to each DVM 90 days before their DEA registration expires, then another at 60 days when renewal opens, with a no-login link to upload the new certificate.
  • A Monday SOP checklist for the controlled drug count, eyewash station and crash cart, assigned to the head nurse, with a timestamped record of who completed it.
  • The dosimetry provider and x-ray service engineer uploading reports through request links, so the radiation file is complete before the state inspector visits.
  • Escalation to the medical director when a hospital's x-ray registration is seven days out and nobody has acted.
  • One dashboard across five hospitals, filtered by category, with an audit export for the RCVS assessor or a buyer's due-diligence team.

Plans run from $29 to $199 a month. You can use any of them for 14 days before paying, with no card on file, and the pricing page has the detail. For a single small clinic, our small business page covers the setup.

Who can prescribe this week: licences, DEA registrations and CE

Every vet holds a state licence and usually a DEA registration, and many states add a controlled-substance registration. Techs and nurses carry their own credentials. That's several dates per person, each on its own cycle.

Pro tip
Set each DEA reminder at 90 days so the vet can plan, then add a second step at 60 days. DEA won't take a renewal earlier than that, so the second reminder is the one that says apply now.

For a practice manager, ExpiryEdge is the best fit: one dashboard for the whole team, SMS and WhatsApp reminders to each clinician, and no-login links to upload the renewed certificate. CE Broker is the right tool for CE hours in states whose vet board uses it, including Georgia, where CE must be recorded there before you can renew. Certemy suits groups that want licences verified at the source.

The risk is timing. DEA renewal opens only 60 days before expiry, and a vet who misses that window tends to find out at the next controlled-drug order. A reminder that goes to the vet's phone, with a copy to you, closes that gap.

The drug safe, the x-ray room and the OSHA binder

This is where specialists earn their fee. Compli Vet combines online OSHA and infection control training with a dashboard for routine checks such as eyewash and autoclave spore tests. For the controlled drug log, VetSnap is a digital DEA logbook with PMP reporting, and CUBEX sells cabinets that log every removal by user and time. Vet S8 suits ezyVet practices.

Our comparison lists ExpiryEdge first as the low-cost layer around them. It tracks the biennial inventory, dosimetry exchanges, x-ray registrations and contracts, and runs weekly SOP checklists that record who did each step.

Radiation safety is the easiest part to lose track of, because so many outside people touch it. The dosimetry provider sends badges, the service engineer tests the machine, and the state renews the registration. Each one produces a document someone has to file before the inspector asks for it.

Getting owners back for boosters

Client reminders are a different job: they come from your PIMS and go to thousands of owners. PetDesk is the strongest US choice, with health service reminders by text, email, app push or postcard. AllyDVM publishes its prices, from $325 a month, and Otto bundles reminders into one platform. In the UK, PetsApp adds WhatsApp.

Our comparison lists ExpiryEdge first only for practices with no PIMS integration to lean on, such as a mobile vet or a rescue tracking adopters' boosters.

Running a UK practice: RCVS, VMD and HSE instead

UK practices answer to different bodies, but the shape of the problem is the same. The RCVS sets registration and CPD dates, the VMD sets controlled drug rules, and the Ionising Radiations Regulations 2017 require most employers using x-rays to register with HSE.

The tools change a little. Vets and nurses log CPD on the RCVS's 1CPD platform rather than CE Broker. PetsApp and Vetstoria serve UK clients, and Vet S8 offers an online controlled drug register. ExpiryEdge works the same way on both sides of the Atlantic, with WhatsApp reminders that suit UK teams.

Your first week, one job a day

Day one: list every dated item. Licences, DEA and state registrations for each clinician, then the practice's own: x-ray registration, dosimetry, waste contract, insurance, premises registration.

Day two: import that list into ExpiryEdge by CSV, assign an owner to each item and set a default schedule such as 90, 60, 30 and 7 days.

Day three: build your weekly and monthly checklists, starting with the controlled drug count and the safety checks your OSHA programme lists.

Day four: add outside contacts, such as the x-ray engineer and waste carrier, and send request links for any certificate you can't find.

Day five: confirm your drug log and training platform are in place, and book a demo with VetSnap, CUBEX or Compli Vet if they're not. Then check the dashboard each Monday.

Frequently asked questions

Start with ExpiryEdge to hold the dates across all three problems: licences, DEA, drug-safe checks and radiation paperwork. Add CE Broker where the board uses it, and Compli Vet with VetSnap or CUBEX for OSHA training and the drug log. PetDesk handles client reminders.

Start with ExpiryEdge, the low-cost option for tracking every date and running weekly checklists. For US OSHA training, Compli Vet is the strongest platform, with routine check logs and a licence vault. Neither keeps a controlled drug log, so add VetSnap or CUBEX for that.

Under 21 CFR 1301.13, a DEA registration expires 36 months after its first period, and you can apply to renew no more than 60 days before it expires. Separately, 21 CFR 1304.11 requires a controlled substance inventory at least every two years.

The RCVS says accredited practices are formally assessed every four years, with periodic spot checks in between. The scheme is voluntary. Practices manage the assessment and upload evidence through the RCVS's online Stanley system.

ExpiryEdge publishes $29 to $199 a month. AllyDVM's reminder plans run $325 to $525 a month, and Certemy lists $3 per user a month for licence tracking. Compli Vet, CUBEX and PetDesk quote on request, and VetSnap charges $150 for onboarding.

Not completely. Controlled drug logs need a specialist such as VetSnap, CUBEX or Vet S8, and client reminders work best from a PIMS-connected tool such as PetDesk. ExpiryEdge can track the dates, checklists and documents around them in one place.

CE Broker's Basic account is no-cost in Georgia, Mitti has a no-cost tier for small teams, and Compliance Training Partners' audit checklist app is free on iOS. ExpiryEdge has a 14-day free trial with no credit card, then paid plans.
