The Pharmacy Compliance Stack: Tools for Staff Licences, the DEA and SOP Sign-Off
ExpiryEdge is the one tool that covers the dates, renewals and outside documents across a pharmacy's three compliance problems: staff licences, the store's DEA and board rules, and SOP sign-off. A technician gets a WhatsApp 60 days before her PTCB certificate lapses, with a no-login upload link. The DEA registration escalates to the owner if the renewal window opens and nobody acts, and every locum e-signs the new controlled drugs SOP from one link.
It doesn't keep a CII perpetual inventory, verify licences with boards or write your FWA programme. Pharmacists still log CPE credits in NABP CPE Monitor. For a US compliance programme, use PAAS National, and add C2 Keep if you need CII records and DEA biennial inventory reports. UK pharmacies that want SOP sign-off built into staff logins should look at Pharmsmart's SOPsmart.
We make ExpiryEdge and recommend it here alongside the specialists. Everything we say about the other tools comes from their own sites, read on 7 November 2026, and is linked so you can check it.
| Problem | ExpiryEdge covers | Best specialist | Full comparison |
|---|---|---|---|
| Pharmacist and technician licences, CPE and certificates | Licence, PTCB, CPR and immuniser dates, staff uploading from a link | NABP CPE Monitor for CPE; Certemy for verification | Pharmacist licence and CPE tracking software |
| DEA, controlled substances, self-inspections and board rules | DEA renewal, permits, self-inspection checklists | PAAS National; C2 Keep for CII records | Pharmacy compliance software |
| Writing, reviewing and signing SOPs | Review dates, e-signatures from staff and locums | SOPsmart (UK); PowerDMS (US) | Pharmacy SOP management software |

What ExpiryEdge looks like behind the counter
ExpiryEdge works best as the layer under your pharmacy system and compliance programme, holding the dates and documents that would otherwise sit in a binder. Some ways pharmacies use it:
- A technician gets a WhatsApp message 60 days before her PTCB certificate lapses, with a link to upload the new certificate. If it hasn't arrived by day 7, the PIC gets an email.
- The DEA registration is a record with reminders at 90 and 60 days, and an escalation to the owner if the renewal window opens and nobody has acted.
- Every January, the self-inspection runs as a scheduled checklist assigned to the PIC, with each step ticked and timestamped for the board inspector.
- After the controlled drugs SOP changes, all 14 staff and four regular locums get one link to confirm the new version and e-sign, with automatic follow-up until each one does.
- A five-store group filters one dashboard by store and category, then exports the audit trail when an inspector asks for proof.

It also helps with outside people. A wholesaler or reverse distributor can upload a renewed state licence through the same kind of link, and a temp agency can send a locum's registration before the first shift.
ExpiryEdge doesn't verify licences with state boards, keep a CII perpetual inventory, report to a PMP or write your FWA programme. Use the specialists above for those.
Eight dates to load before anything else
These are the dates a US or UK pharmacy lives by. Load them into whatever tool you choose, with the reminder lead time in the last column.
| Deadline | How often | Source | Remind at |
|---|---|---|---|
| DEA registration renewal | Every 36 months after the first period; renew in the last 60 days | 21 CFR 1301.13 | 90 and 60 days |
| Controlled substance inventory | At least every two years | 21 CFR 1304.11 | 30 days |
| Keep inventories and CS records | At least two years | 21 CFR 1304.04 | Before any purge |
| Technician CPhT recertification | About every two years, 20 hours CE | PTCB | 6 months |
| Florida pharmacist licence | Next expiry 30 September 2027, 30 hours CE | Florida Board of Pharmacy | 6 months |
| Oregon PIC self-inspection | Every year by 1 February, and within 15 days of a new PIC | Oregon Board of Pharmacy | 30 days |
| GPhC registration and revalidation | Every year | GPhC | 60 days |
| Pharmacy procedures review (GB) | "Regularly", no fixed interval | Responsible Pharmacist Regulations 2008 | 30 days before your set date |
The DEA rules are in 21 CFR 1301.13, 1304.11 and 1304.04. PTCB's cycle is in its recertification policy, and Florida's is on its pharmacist renewal page. Oregon's dates are on its retail self-inspection form. For the UK, see the GPhC's revalidation page and regulation 4 of the Responsible Pharmacist Regulations. Check your own state board for its renewal and self-inspection dates.
Pharmacists, technicians and immunizers: credits in CPE Monitor, dates in one team view
Each pharmacist keeps CPE credits in NABP CPE Monitor, which is free at the Standard level, and Florida pharmacists also report CE through CE Broker. Neither gives an owner a view of the whole team. Certemy adds primary source verification for multi-state groups, and PAAS Vault is a $99-a-year add-on for PAAS members.
For most owners and pharmacists-in-charge, ExpiryEdge is the best fit for this job: one record per person with licence, PTCB certificate, CPR card and immuniser training, reminders by SMS or WhatsApp, and a no-login link to upload the renewal. The full comparison of seven tools is in best pharmacist licence and CPE tracking software.
The store's DEA, inventory and self-inspection: PAAS and C2 Keep, plus a calendar
No single tool covers this. PAAS National is the strongest US compliance programme for independents, with an FWA and HIPAA manual, training and daily exclusion checks. C2 Keep keeps the CII perpetual inventory and creates DEA biennial inventory reports. In the UK, Pharmsmart's CDsmart is an electronic CD register with a free RP log.
What's left is the calendar: DEA renewal, the biennial inventory date, permits, the yearly self-inspection. Our comparison lists ExpiryEdge first for this. It runs those as reminders and recurring checklists with an audit trail. UK pharmacies have a shorter list but the same pattern. Pharmsmart's free extras cover the RP log, fridge temperatures and the cleaning log with email nudges when an entry is missed. The dates around them, such as GPhC renewal for each registrant and the next procedure review, still need a home with reminders.
Read the full verdict in best pharmacy compliance software, and our guide to how long a DEA licence lasts covers the renewal window.
SOPs: get the locums' signatures, not just the regulars'
In the UK, SOPsmart is the pharmacy-built choice: staff sign unsigned SOPs when they log in, locums sign remotely, and it flags review dates. US health-system pharmacies usually look at PowerDMS. Content comes from NPA templates in the UK or Medisca's compounding SOPs in the US.
Our comparison lists ExpiryEdge first as the low-cost option when your SOPs already live in Word. It reminds the superintendent before each review and sends every team member and locum a no-login link to e-sign the new version. The full comparison is in best pharmacy SOP management software.
Day-by-day setup for a single store
Day one: list every dated item. Each person's licence, certificate and CPR card, plus the store's DEA registration, permits, biennial inventory date and self-inspection date. A CSV import loads the lot with custom fields such as licence number and state.
Before you start, pick one owner for the system. In most stores that's the PIC or the superintendent, with the owner as backup. Agree what counts as done for each item: the new licence uploaded and its date checked, not just a renewal fee paid.
Day two: set reminder steps. Use 90, 60, 30 and 7 days for anything that needs a third party, and 30 and 7 for internal tasks. Add the owner as the escalation contact.
Day three: add each person's mobile number and preferred channel, so reminders go to the person who renews, not just to you.
Day four: build the self-inspection and SOP review as checklist templates, and schedule the next run.
Day five: send the first SOP sign-off request to the whole team, including locums. Check who has signed by the end of the week, and let automatic follow-ups chase the rest. The pharmacies page shows a pharmacy setup. Our pricing page lists plans from $29 to $199 a month, and the 14-day trial needs no card.
Frequently asked questions
Keep every licence, PTCB certificate and CPR card in one tracker that reminds the person who has to renew. ExpiryEdge sends those reminders by SMS or WhatsApp and collects the new card through a no-login link. For board-verified status across several states, Certemy is the better fit.
Under 21 CFR 1301.13, a retail pharmacy's DEA registration runs 36 months after its first period, and you can apply to renew no more than 60 days before it expires. Separately, 21 CFR 1304.11 requires a full controlled substance inventory at least every two years.
The GPhC's standards for registered pharmacies look at how you run things and whether staff are competent. The Responsible Pharmacist Regulations 2008 go further. You need written or electronic procedures, kept at the premises and reviewed regularly. Inspectors expect current versions, plus proof your staff have read them.
Published prices include ExpiryEdge at $29 to $199 a month, C2 Keep at $85 a month billed yearly, PAAS National programmes from $447 a year, and Certemy from $3 per user a month. Pharmsmart, PowerDMS and PioneerRx quote on request.
Not fully. Controlled substance records, FWA programmes and licence verification need specialists. ExpiryEdge can hold the dates and documents across all of them in one dashboard, with reminders and an exportable audit trail, so nothing lapses between the systems.
