What's the Best Pharmacy SOP Management Software? 6 Options Compared for UK and US Pharmacies
ExpiryEdge is our first pick for an independent pharmacy whose SOPs already live in Word and whose gaps are review dates and missing signatures. It tracks each SOP's review date, sends every team member and locum a no-login link to confirm and e-sign the current version, and chases until they do. The price is published.
It isn't an SOP editor or policy library. If you want SOPs written, versioned and signed inside one pharmacy system, pick Pharmsmart's SOPsmart in the UK: staff sign any unsigned SOP when they log in, locums can sign before their shift, and it warns you when a review is due. For US health-system or multi-site pharmacies, PowerDMS is the established policy platform, with version control and tracked attestations. The others are content, not software: NPA templates in the UK and Medisca's compounding SOPs in the US. Mitti can turn an SOP into a short course with a quiz.
We make ExpiryEdge; please factor that in. What we report about SOPsmart, PowerDMS and the other options is drawn from their own pages on 7 November 2026, and each point is linked to its source.

How we compared these tools
Half of these options are content and half are software, so we first said what each one is. Then we looked at the two things an inspector checks, staff sign-off and on-time review, plus whether you can see a price. Locum sign-off got extra weight because that's where declaration sheets usually have gaps. We read each vendor's pages on 7 November 2026 and checked the rules against the Responsible Pharmacist Regulations, GPhC standards, USP and Oregon's board. We didn't pay for trials. ExpiryEdge is our product, so read its section knowing that.
The current version, read and signed by everyone who does the task
An SOP only protects you if the current version is the one people follow, and you can prove they read it. Inspectors check both.
In Great Britain, the Responsible Pharmacist Regulations 2008 list what pharmacy procedures must cover: ordering, storing, supplying and disposing of medicines, who can give advice, which staff are competent for which tasks, the RP's absence, complaints, incidents and how changes reach staff. The procedures can be on paper or electronic, must be available to staff at the premises, and must be "reviewed regularly". The GPhC's standards for registered pharmacies then look at governance and whether staff are competent.
The law doesn't set a review interval, so pick one, write it on each SOP and stick to it. Two years is a workable default, with an earlier review after an incident or a change in practice.
In the US, state boards ask for written policies, and compounding pharmacies also work to USP chapters. USP's page on chapter 795 says it covers documentation and training as well as the compounding process. An Oregon PIC's self-inspection form asks for the completed form to be reviewed with staff and kept ready for inspectors.
- The current version, with its date and the next review date
- Who wrote it, who approved it and what changed since the last version
- A signature from every team member who does that task, including locums
- Evidence it was reviewed on time, or after the incident that prompted it
Locums, new versions and forgotten footers
The first is locums. They work one Saturday a month, nobody hands them the folder, and their name is missing from half the declaration sheets. Any tool you pick should let them sign before the shift without an account.
The second is the new version. When you change the controlled drugs SOP after an incident, every earlier signature on it stops counting. You need the old signatures kept for the record and fresh ones collected on the new version.
The third is the review date itself. It sits in the footer of a Word file that nobody opens until the inspector asks. A reminder to the superintendent 30 days before, with a nudge to the owner if it's ignored, fixes that for very little effort.

1. ExpiryEdge: best simple, low-cost option for review dates and sign-off
ExpiryEdge treats each SOP as a record with an owner, a version field, the PDF attached and a review date. Before the review is due, it reminds the superintendent or PIC by email, SMS or WhatsApp, and escalates to the owner if nothing happens.
When a new version goes live, send a request to the team. Up to 200 people can get the same no-login link, including locums who aren't in your systems. The link can ask them to confirm the version they've read and add a legally binding e-signature. ExpiryEdge follows up automatically until everyone has signed, and the audit trail shows who signed and when.
For SOPs that drive routine tasks, use a checklist template. A monthly CD balance check, the daily fridge reading or the opening routine can run on a schedule with assigned steps and live progress.

Pricing: billed in US dollars at $29, $49, $99 or $199 a month. A 14-day trial is free and needs no card.
Watch out for: ExpiryEdge isn't a document editor and has no SOP library or quizzes. You write SOPs in Word or Google Docs and use ExpiryEdge for review dates, signatures and proof.
Try it with your own SOP folder in 15 minutes:
- Import a CSV of your SOPs with custom fields for version, owner and next review date, and attach each PDF.
- Set a 30-day reminder to the superintendent before each review, with escalation to the owner on the due date.
- Send your controlled drugs SOP to the whole team, locums included, as one no-login request link with a version confirmation and an e-signature field.
See what each plan includes on the pricing page.
2. SOPsmart (Pharmsmart): best for UK community pharmacies
SOPsmart is built for pharmacies. When staff log in and haven't signed an SOP, they're prompted to read and sign it electronically, and each signature is logged with who and when. You can assign SOPs to roles so people only sign the ones that apply, and add a quiz to check understanding first.
It alerts you when an SOP is due for review and keeps historical versions with the reason for each change. When you issue or update an SOP, branches, regular staff and locums get an email, and locums can be given access to sign from home before they arrive. In a group, an SOP signed in one branch counts as signed across all of them.

Pricing: not published. You create an account or contact Pharmsmart.
Watch out for: the page doesn't describe templates or help writing SOPs, so you'll still need content, for example from the NPA or your own superintendent.
3. PowerDMS: best for US health-system and multi-site pharmacies
PowerDMS, now shown as PowerDMS by NEOGOV, is policy management software for healthcare. It stores revisions automatically and limits staff to the current version, sends reminders for reviews and re-certification, and records who has read and acknowledged each policy. It says it works with more than 30 accrediting bodies and alerts you when standards change.
Its acknowledgement page says staff sign with their username and password or a thumbprint in the mobile app.

Pricing: not published; request a demo.
Watch out for: the healthcare pages we read don't mention pharmacies by name. It's sized for hospitals and larger groups, and an independent will be paying for accreditation features it may not need.
4. NPA SOP templates: best UK content to start from
The NPA launched dispensing SOP templates in May 2022, covering dispensing, legal and clinical checks, repeat dispensing, ordering and disposing of stock and veterinary prescriptions. Each SOP ends with a declaration page for every team member involved in the process to complete. The NPA advises review at regular intervals and after a dispensing incident.
Pricing: not published; NPA member pages need a login.
Watch out for: these are documents, not software. Sign-off on a paper declaration page is fine for one store, but tracking it across locums and branches needs a tool such as SOPsmart or ExpiryEdge.
5. Medisca SOPs: best for US compounding pharmacies
Medisca sells more than 70 non-sterile SOP templates, covering non-hazardous and hazardous compounding and aimed at USP 795 and 800. They're customisable.

Pricing: you log in to see the price.
Watch out for: you get one download per package, and all SOPs must be downloaded within a year of purchase. Sign-off and review dates still need tracking elsewhere.
6. Mitti Training: best for turning SOPs into short courses
Mitti Training, from SafetyCulture, lets you upload a PDF, PowerPoint or Word file and have AI turn it into a course, then add a quiz. You can target mandatory training by team, role, location or person, recurring courses reissue on their own, and pass or fail scoring shows who understood it.
Pricing: the pricing page lists $0 for teams of up to 10, then Premium at $24 a seat a month billed yearly.
Watch out for: the training page doesn't describe a formal signature or acknowledgement, so it proves understanding rather than a signed declaration.
ExpiryEdge as an alternative to PowerDMS
We put ExpiryEdge first because most pharmacies don't need a new place to write SOPs. They need the review dates watched and the signatures collected. PowerDMS is still the right call in one case. It's a full policy library, and if you run a hospital pharmacy that answers to an accreditor, with hundreds of policies and a document control team, it's the safer choice.
Most independents and small groups don't need that. Their SOPs already live in Word, and the gaps are review dates nobody watches and locums who never signed. ExpiryEdge fills those two gaps at a published monthly price: a reminder before each review, and a no-login signing link that chases every team member until it's done.
Switch if your problem is proof and timing. PowerDMS is still the right call, or look at SOPsmart in the UK, if you need version-controlled editing, quizzes and a policy library in one place.
Multiply SOPs by signers, then pick your content source
Count your SOPs and your signers. Twenty-five SOPs and twelve people, including regular locums, is 300 signatures every review cycle.
Then decide where the content comes from. In the UK, start from NPA templates or your own, then pick SOPsmart if you want a pharmacy-specific tool or ExpiryEdge if you also want to track licences, permits and contracts in the same place. In the US, Medisca covers compounding content, and PowerDMS suits larger organisations.

Frequently asked questions
The Responsible Pharmacist Regulations 2008 say pharmacy procedures must be reviewed regularly but don't set an interval. Pick one, such as every two years, write it on each SOP, and review sooner after a dispensing incident or a change in practice.
Use a tool that doesn't need a login. SOPsmart can give locums remote access to sign before they attend. ExpiryEdge sends a no-login link with an e-signature to up to 200 people at once and follows up until each person signs.
Regulation 4 of the Responsible Pharmacist Regulations sets the list. Your SOPs must cover how medicines are ordered, stored, supplied and disposed of, and when non-pharmacists may give advice. They also cover what happens when the RP is absent or changes, how you handle complaints and incidents, and how staff hear about changes.
PowerDMS suits hospital and health-system pharmacies. You get versioned policies, tracked sign-offs and accreditation updates. Its healthcare pages don't name pharmacies, and it doesn't publish prices. So independents often pick SOPsmart in the UK, or ExpiryEdge.
In the UK, the NPA publishes dispensing SOP templates for members, each with a declaration page for staff. In the US, Medisca sells more than 70 non-sterile compounding SOP templates aimed at USP 795 and 800, with pricing shown after you log in.
