Childcare Compliance Software in 2027: One Tool per Problem, and One for All the Dates

ExpiryEdge is the one tool that covers the dates, renewals and outside documents across a childcare centre's three compliance problems: staff checks and certificates, children's health records, and licensing. A teacher gets a WhatsApp 30 days before her paediatric first aid certificate expires, with a no-login upload link. A parent gets a text when their child's auto-injector is 30 days from expiry, and monthly fire drills run as checklists at every site, from $29 a month.

It doesn't run background checks, track ratios or attendance, or know the vaccine schedule. For immunization records tracked against the CDC schedule, brightwheel is the best tool, with Procare close behind. For licensing evidence of ratios and sign-ins, Procare is the specialist, and brightwheel and Famly do the same in their own platforms. If your state's staff requirement is mostly training hours, brightwheel and Procare keep those on the staff profile.

We make ExpiryEdge. What we say about brightwheel, Procare, Famly and the rest comes from their own sites as of 7 November 2026, and the full comparisons link every fact.

Quick verdict
Use ExpiryEdge for staff certificates, allergy plans, the licence renewal and monthly drills, because it texts the teacher or parent who has to act. Pick brightwheel if you need immunizations tracked against the CDC schedule, and Procare for ratios and sign-in records. Famly suits UK nurseries that want published prices.

A month in a nursery with ExpiryEdge beside the childcare system

Your childcare system keeps the day running. ExpiryEdge watches the dates around it. Over a typical month:

  • A teacher gets a WhatsApp message 30 days before her paediatric first aid certificate expires, with a no-login link to upload the new one. If it isn't in by day 7, the nursery manager gets an escalation.
  • A fire drill checklist starts automatically on the first Monday of each month at every site, with steps for the alarm, the evacuation time and the head count, and a record of who did each one.
  • A parent gets a text when their child's auto-injector is 30 days from expiry, and uploads a photo of the new one and the updated allergy plan through the same link.
  • The fire extinguisher contractor uploads the service certificate through a request link, and the area manager approves it.
  • An owner with six centres filters one dashboard by site and category the week before an inspection and exports the audit trail.

ExpiryEdge doesn't run background checks, track ratios or attendance, bill parents or deliver training courses. Our education page shows how schools and childcare providers set it up.

Nine dates that come round again in a centre or nursery

Most of a centre's compliance work is a set of dates that come round again. These are the ones set by federal rules in the US and the EYFS framework in England. Your state or local authority adds its own on top.

Allergy action plans (England)Kept up to date with parentsEYFS statutory framework
Fire and emergency drillsYour state or fire officer's schedule45 CFR 98.41; EYFS

You can read each rule at the source: the CCDF rules on background checks in 45 CFR 98.43, training in 98.44, inspections in 98.42 and health and safety in 98.41, the EYFS statutory framework for England, and Ofsted's early years blog on the annual fee.

Two of these catch people out more than the rest. The Ofsted fee looks like an admin bill, but Ofsted's blog says an invoice still unpaid 30 days after it's due brings a notice of decision to cancel registration. And a CPR card lapses quietly, because the teacher books the class and nobody tells the office.

Staff compliance: chase the renewal, not just the record

The best tool for staff compliance is the one that gets a new certificate back before the old one lapses. ExpiryEdge ranks first in our childcare staff compliance software comparison because it texts the teacher before her CPR or first aid certificate expires and collects the new one through a link with no login, then escalates to the director if nothing arrives.

brightwheel and Procare keep certifications and professional development hours on the staff profile and sell their own training courses, so they suit centres where the state requirement is mostly hours. DailyConnect and Child Care Seer have certificate expiry alerts at low US prices, and Famly and Ovivio publish UK prices.

For setting the recheck cycle itself, see our background check renewal policy guide.

Immunization records: use a system that knows the schedule

Our child immunization record tracking comparison lists ExpiryEdge first, for health paperwork with its own clock. For the vaccines themselves, brightwheel is the best tracker for most US centres. It follows the CDC schedule from each child's birthday, labels doses Due or Overdue, and reports what's due in the next 30 or 60 days. Procare is close behind, with editable dosing rules and email reminders to parents.

ExpiryEdge doesn't know the vaccine schedule. It's the better tool for allergy action plans, medication permissions and the EpiPen that expires in spring. UK nurseries, where immunisation isn't a condition of a place, often need that more than a vaccine table.

Licensing: two kinds of evidence

A licensing visit asks what happened in the rooms today and what should have happened on a schedule. Our childcare licensing compliance software comparison lists ExpiryEdge first, for the scheduled kind: the licence renewal, monthly drills run as scheduled checklists, the fire equipment service and the health inspection.

For what happened in the rooms, it names Procare, with ratio alerts by room and timestamped sign-in records it can print for the licensing agent. brightwheel and Famly do the same in their own platforms. Procare bought Playground in September 2026, so centres comparing those two are now comparing products from one company.

Pro tip
Run one drill a quarter at nap time or pick-up instead of mid-morning, and note which room was slowest. A nap-time drill shows how you'd move sleeping babies, which a mid-morning drill never tests, and the checklist keeps the timing on record.

From last inspection report to a working schedule in seven days

Day 1: list every dated item. Go through your last inspection report, your staff files and your licence paperwork, and write down each date and who owns it.

Day 2: check what your childcare system already does. If Procare, brightwheel or Famly tracks immunizations and ratios well, leave those there. Don't move data you don't need to move; you only want the dates nobody watches today.

Day 3: import the rest. Put staff certificates, licences, permits, drills and health forms into ExpiryEdge from a CSV, one category at a time.

Day 4: set the reminder schedule. Use 90, 60, 30 and 7 days for anything a third party issues, such as the licence, fire inspection or background check, and 30 and 7 days for staff certificates.

Day 5: add the people. Put each teacher and the key contractors in as contacts so reminders reach them directly, and set the escalation to the director.

Days 6 and 7: build the drill checklist, schedule it, and run the first one. Time the evacuation, note who was absent, and attach the sign-off. Next month's run starts on its own, and you'll have a record ready when the inspector asks for the last six drills. Once you know your item count, the pricing page tells you which plan fits.

Frequently asked questions

Start with ExpiryEdge for staff certificate renewals, licence dates, drills and health forms, at a published price. Brightwheel is best for children's immunization records against the CDC schedule. Procare is best for licensing ratio and attendance evidence.

Most US centres run a childcare management system such as Procare, brightwheel or Famly. It handles attendance, ratios, billing and immunizations. Many add a deadline tool such as ExpiryEdge for staff certificates, licence renewals, fire drills and inspection certificates. Those dates sit outside the childcare system.

Yes. Famly and Ovivio are UK nursery systems with published monthly prices, staff qualifications and ratio tools. ExpiryEdge works in the UK too, tracking paediatric first aid renewals every three years under the EYFS, DBS update checks, the Ofsted annual fee and allergy action plans.

ExpiryEdge runs $29 to $199 a month after a 14-day free trial. Famly UK lists £79 to £209 a month, Ovivio £79 to £179 billed yearly, and Child Care Seer $25 to $185 a month per location. brightwheel, Procare and Playground quote on request.

For ratios and sign-in, look at brightwheel or Famly. For staff certificates, licence renewals and drills, ExpiryEdge is simpler and runs fine next to Procare, so you don't have to switch at all. One thing to know: Procare bought Playground in September 2026, so those two now have the same owner.

In the US, the federal CCDF rule requires a background check before hire and at least every five years, and your state may require more. In England, the EYFS requires paediatric first aid to be renewed every three years and an enhanced DBS check before unsupervised contact with children.
