For most centre directors and nursery managers, ExpiryEdge is the best tool for staff compliance. It tracks each teacher's background check, CPR card, paediatric first aid certificate and training hours as dated items, texts the teacher before each one lapses and collects the new certificate through a link with no login. It sits beside whatever childcare management system you run, and the price is on the website.

If you'd rather keep everything inside your childcare software, brightwheel and Procare hold certifications and professional development hours on the staff profile and sell their own training courses. Famly and Ovivio do the same for UK nurseries at a published price. DailyConnect and Child Care Seer are the low-cost US systems with built-in certificate expiry alerts.

First, our interest: We make ExpiryEdge. It's ranked first below. The six childcare systems are described from their own help articles and pricing pages as of 7 November 2026, each one linked where we use it.

Quick verdict
Use ExpiryEdge if you want every teacher's background check, CPR card and first aid certificate chased by text, whatever childcare software you run. Pick brightwheel or Procare if you'd rather keep training hours on the staff profile. UK nurseries wanting a published price should look at Famly.

How we ranked them

The ranking follows the first two columns. A director's real problem is a CPR card that lapses because nobody heard about it, so we gave most weight to alerts on staff certificates and to whether a teacher can send in the new card without an account. Training courses come third, since many centres buy them anyway. We read every vendor's help articles, staff pages and pricing on 7 November 2026, and checked the rules against 45 CFR 98.41, 98.43 and 98.44 and the EYFS framework for England. We didn't take out paid accounts. We make ExpiryEdge and put it first, so try it before you trust that.

Every adult in the building has a file, and parts of it expire

Every adult who works with the children has a file, and parts of that file expire. The software has to know each date, warn the right person in time, and get the new document back before the old one runs out.

In the US, the federal Child Care and Development Fund rules set the floor. Under 45 CFR 98.43, a covered provider must request a full background check before someone starts and at least once every five years for existing staff. That check includes an FBI fingerprint check, the national sex offender registry and state criminal, sex offender and child abuse registries. Section 98.44 requires pre-service health and safety training within three months, then ongoing training with a minimum number of hours each year. Your state licensing rules set the actual hours, and 98.41 lists paediatric first aid and CPR among the required topics.

In England, the EYFS statutory framework for group and school-based providers (effective 1 September 2026) is just as specific. At least one person with a current paediatric first aid certificate must be on the premises whenever children are there, and the training must be renewed every three years. Staff who got a level 2 or 3 qualification after 30 June 2016 need a PFA certificate within three months of starting to count in ratios. Enhanced DBS and barred list checks come before unsupervised contact, and the framework tells you to check the status of a DBS on the update service where the employee has subscribed.

That gives a typical 20-person centre roughly 60 to 80 dated items, before you count food handler cards or state-specific courses. The CPR card is the one that slips most often, because the teacher books the class and you only find out when the inspector asks.

The staff dates a childcare centre lives by
  • Background check: before hire, then at least every 5 years (US CCDF)
  • CPR and paediatric first aid: the printed expiry on each card; every 3 years for PFA under the EYFS
  • Annual training hours: the minimum your state or local authority sets
  • Pre-service health and safety training: within 3 months of starting (US CCDF)
  • DBS update service status checks: when you decide, with the employee's consent (England)
Timeline of one teacher's file: background check before starting, pre-service training and first aid within 3 months, yearly training hours, first aid renewal at 3 years, repeat background check at 5 years in the US

Count one teacher's dates, then test the chase

Start by listing every dated item for one teacher: background check, CPR, paediatric first aid, food handler card, annual hours. Multiply by your headcount. That number tells you whether a per-child, per-location or per-item price is cheapest.

Then test the chase. Pick a teacher whose CPR card expires next month and ask each vendor what that teacher receives, on which channel, and what happens if she ignores it. Our background check renewal policy guide covers setting the recheck cycle itself.

Pro tip
When you add a new hire, check whether her CPR card expires in the same month as two or three others. If it does, book one on-site class for that month, so you're not short in ratio while several teachers are out at separate courses.

Finally, look at the rest of the centre. The childcare compliance software guide covers all three problems, the immunization tracking comparison handles children's records, and the licensing compliance comparison covers drills and renewals.

1. ExpiryEdge: best for chasing renewals, whatever childcare software you use

ExpiryEdge doesn't run background checks or teach CPR. It makes sure nobody's lapses. Each teacher gets a record with their background check date, CPR card, paediatric first aid certificate, food handler card and training hours, built from a custom template with the fields you choose. Upload a scanned certificate and ExpiryEdge reads the expiry date for you.

You set the reminder schedule, say 60, 30 and 7 days. Reminders go to the teacher by SMS or WhatsApp as well as to you, with a request link the teacher opens without an account to upload the new card and sign anything you need signed. If nothing comes back, the item escalates to the centre director or area manager. Your reviewer approves or rejects each upload with a comment, and a rejected item reopens the same link so the teacher fixes only that.

A group with several centres can split records by team or workspace and filter one dashboard by site and certificate type. Every action lands in an exportable audit trail, which is what a licensing consultant or Ofsted inspector wants to see. See how this works on our education page and the certification tracking page.

Pricing: you pay for how many dated items you track, at $29, $49, $99 or $199 a month, after 14 free days that need no card. A 20-person centre with four dated items each fits the $49 Pro plan's 250 items.

Watch out for: ExpiryEdge doesn't check the FBI, state registries or the DBS update service for you, doesn't deliver training courses, and doesn't do ratios or payroll. You still run those in the state system and your childcare software.

Try it with your own staff certificates in 15 minutes

  1. Import your staff list from a CSV with custom fields for CPR expiry, paediatric first aid expiry, background check date and training hours.
  2. Set a 60, 30 and 7-day schedule for CPR cards that texts the teacher a no-login upload link and escalates to the centre director.
  3. Upload one scanned CPR card, check the date ExpiryEdge read from it, and approve or reject it as a reviewer would.

The pricing page shows the item limit on each plan.

2. brightwheel: best for training hours on the same staff profile

brightwheel's staff certifications help article lists education and training fields on each staff profile: degree, certifications, ECE credits, infant and toddler credits, professional development hours and notes. Admins and managers fill them in. You can upload external certificates to the profile's attachments, and the article suggests adding expiration dates to those attachments to track renewals for certificates like CPR and first aid.

With a Professional Development subscription, completed brightwheel course certificates upload automatically and a Training dashboard tracks hours. The childcare management page says the courses help meet state training requirements and earn a CDA.

Pricing: not published. The pricing page asks for your details to build a custom quote.

Watch out for: the help article doesn't describe automatic expiry alerts to the teacher, so check that in a demo with one real CPR card.

3. Procare: best if you already run Procare for billing and attendance

Procare's staff management page covers clock-in, payroll and staff records, including timecard hours, immunizations and employee profiles. A Procare blog post from 2017 describes tracking training and continuing education hours with the Requirements settings in the Employee Data module, and setting reminders before certifications need renewing.

Procare Professional Development adds over 120 training hours of self-paced courses. Procare says it's an IACET Accredited Provider, the courses are approved in all 50 states, and it can submit attendance records to your state registry.

Pricing: not published. Procare asks you to request pricing.

Watch out for: when you send a staff member an eDocument request, Procare's support article says they log into their Procare account to complete it. Procare also bought Playground in September 2026, per its FAQ, and says current products are unchanged.

4. Famly: best for UK nurseries that want a published price

Famly's staffing page says you can keep first aid, DBS checks and other credentials on each staff profile, and qualification types such as room leader show on the rota. Ratios are set by room and checked in real time, down to every 15 minutes.

The UK pricing page lists Foundation at £79, Premium at £159 and Professional at £209 a month, excluding VAT. Staff qualifications and staff document storage start on Premium. US centres get a separate per-child price.

Watch out for: the pages we read don't describe expiry dates or reminders on those credentials.

5. DailyConnect: best low-cost US system with certificate alerts

DailyConnect's certification article lets you add certifications to each staff member and search staff by qualification. Under staff settings you choose how far ahead of expiry the reminders start and who gets them, and a report shows what expires soon.

Pricing: the pricing page works out your price from enrolled children and locations, with a 14-day trial and no setup or cancellation fees. Small family daycares pay $8.99 a month for up to 3 children or $12.99 for up to 6.

Watch out for: the article doesn't mention storing the certificate file or letting staff upload it.

6. Child Care Seer: best entry price per location

Child Care Seer's staff certification article comes with common certifications preloaded, which you can edit or add to. First expiry dates are calculated from the hire date, and you can switch on dashboard warnings that start a set number of days before expiry. Staff see their own certifications on their profile.

Pricing: the pricing page lists a free version, Home Seer at $25, Growth at $45 and Unlimited at $185 a month per location.

Watch out for: warnings appear on the director's dashboard. The article doesn't say they reach the teacher.

7. Ovivio (formerly Blossom Educational): UK all-in-one with qualifications

Ovivio's staff planning page gives each staff profile a qualifications summary, and you can attach CPD and qualification files. Rotas show staff required against staff expected by room. The pricing page lists Essentials at £79, Professional at £129 and Business at £179 a month billed yearly, excluding VAT, with staff profiles and qualifications on every plan.

Watch out for: the pages we read don't mention first aid or DBS expiry dates or alerts.

ExpiryEdge as an alternative to brightwheel

Switch to ExpiryEdge for staff compliance if your problem is the chase, not the record. brightwheel stores certifications and hours well. ExpiryEdge adds the part the help article doesn't describe: a reminder that reaches the teacher's phone, a no-login link for the new card, and escalation when it doesn't arrive.

Most centres won't replace brightwheel to do this. They keep it for check-in, billing and parent messaging, and run ExpiryEdge beside it for staff and building dates. A 12-room centre with 30 staff still fits a $49 or $99 plan.

Stay with brightwheel alone if you already buy its Professional Development courses and your state's requirement is mostly hours. Its Training dashboard counts them for you, and ExpiryEdge doesn't host courses.

Frequently asked questions

ExpiryEdge is the strongest pick for chasing renewals. It texts each teacher before a CPR card or background check lapses, then collects the new one through a no-login link. brightwheel and Procare suit centres that want training hours on the same staff profile. DailyConnect and Child Care Seer are low-cost US systems with expiry alerts.

Under the federal CCDF rule, 45 CFR 98.43, a covered US provider must request a full check before someone starts and at least once every five years after that. Your state may set a shorter cycle. In England the EYFS requires an enhanced DBS and barred list check before unsupervised contact with children.

Every three years under the EYFS statutory framework for England. Staff who gained a level 2 or 3 qualification after 30 June 2016 need a certificate within three months of starting to count in ratios. US CPR and first aid cards carry their own printed expiry date, so track the date on each card.

Partly. brightwheel's help article says staff profiles hold certifications, ECE credits and professional development hours, and it suggests you add expiry dates to uploaded certificates. It doesn't describe automatic reminders to the teacher. ExpiryEdge, DailyConnect and Child Care Seer all describe expiry alerts, so you'd get a nudge before a card lapses.

ExpiryEdge runs $29 to $199 a month after a 14-day free trial. Child Care Seer lists $25 to $185 a month per location, Famly UK lists £79 to £209 a month and Ovivio £79 to £179 billed yearly. brightwheel and Procare quote on request, and DailyConnect prices by child count.

Yes, in ExpiryEdge. The teacher gets a link by text, WhatsApp or email and uploads the new card from her phone with no account. In Procare, staff log in to finish an eDocument request. The brightwheel, Famly, DailyConnect and Child Care Seer pages we read don't say staff can upload.

Not if their staff profiles and reminders cover your state's list. Many centres keep Procare or brightwheel for attendance, billing and ratios and add ExpiryEdge for the chase, because it reaches staff on their phone and also tracks building permits, fire inspections and insurance.
