Credential Tracking for Staffing Agencies - Not Just Healthcare.
Every state licence, every CE credit, every BLS card, every forklift cert, every security badge - tracked through hire, deployment, mid-assignment, and re-assignment. Built for the 20–500 worker agency that needs more than a spreadsheet but does not need a $200k VMS.

Credential tracking software for staffing agencies automatically applies role-, state-, and specialty-based credential requirements, alerts on expirations, gates deployment when documents lapse, and stores audit-ready evidence. The biggest failure mode is not hire-day: it is the mid-assignment lapse - a worker passes initial credentialing but a licence or training card expires while they are already on shift. Continuous monitoring plus a deployment gate fixes it.
One stack per role. One renewal cadence per credential.
Every role you place has its own credential stack. ExpiryEdge ships with templates for the six staffing categories below - and you can build your own per client requirement.

The worker passed onboarding with a current BLS card. Four months in, the card expires. The agency keeps scheduling shifts. The client finds out during an audit - or after an incident. The agency now has knowing exposure to every shift after the expiry date, plus a client relationship to repair.
The fix is twofold: continuous expiry monitoring so the credential is tracked from hire through every assignment, and a deployment gate that prevents scheduling a worker against a client whose required credentials are not all current. ExpiryEdge implements both natively.
Healthcare staffing (20–500 nurses / allied)
Per-state licensure plus compact tracking, plus BLS / ACLS / PALS plus facility credentialing - all from one record per worker.
Light industrial / warehouse staffing
Forklift cards, OSHA 10/30, PPE, site-specific training - the credential stack the healthcare-first platforms ignore.
Security guard agencies
State licences, annual training hours, firearm permits - across guards working multiple client sites with different requirements.
Education / substitute teaching
State credentials, background refresh, subject endorsements, mandated reporter - for districts that audit on every placement.
How is credential tracking different from background checks?
A background check is a one-time event at hire - criminal history, employment verification, drug screen. Credential tracking is the ongoing workflow that runs through the entire deployment lifecycle: every state licence, every CE / continuing-education credit, every BLS / ACLS / PALS card, every site-specific training. Backgrounds expire too (typically annually for most agency renewals) - so credential tracking includes background-refresh cadence as one record among many.
What is a compact licence and how do I track nurses across multiple states?
A compact licence is a single multi-state nursing licence under the Nurse Licensure Compact (NLC) - currently honoured by 41 states / territories. A nurse with a compact licence based in a member state can practise in any other member state. For nurses without a compact licence, each state requires its own licence with its own renewal cycle. ExpiryEdge tracks both - primary-state licence plus per-state endorsements - so deployment decisions are not based on stale information.
My agency is light-industrial, not healthcare. Why does most credential-tracking software ignore us?
Almost every credential tracking platform - Bullhorn, symplr, LaborEdge - was built for healthcare staffing. Light-industrial, IT, security, and education staffing all carry their own credential stack (OSHA cards, forklift certifications, security licences, IT certifications, teaching credentials) but the dominant tools treat them as second-class. ExpiryEdge handles every credential category equally, with templates per role and state rather than nursing-first assumptions.
What is the "mid-assignment lapse" problem?
Worker is cleared at deployment but a credential expires mid-assignment. The agency continues scheduling them. The client discovers the lapse during an audit or incident, and the agency now has knowing exposure. The fix is continuous expiry monitoring (not just a one-time hire-day check) plus an automatic deployment gate that blocks shifts when a required credential is past expiry.
How often do background checks need refreshing?
Industry standard is annually for most agency workers, more frequently in healthcare (typically every 12 months for facility-credentialed staff) and on assignment change for any worker moving to a new client site with stricter requirements. Compact-state nurses, fingerprint-based criminal checks, and drug screens each have their own cadence. ExpiryEdge tracks each as a separate record with its own refresh interval.
Can a worker have different credential requirements at different client sites?
Yes - this is normal in staffing. Hospital A may require BLS + ACLS + PALS + N95 fit-test; Hospital B may require BLS + ACLS only. ExpiryEdge supports client-specific credential profiles attached to each placement, so a worker eligible for Hospital A may not be eligible for Hospital B without an additional credential - and the agency sees the gap before the placement is offered.
How does ExpiryEdge compare to Bullhorn or symplr for credentialing?
Bullhorn (with its credentialing module) and symplr Workforce are enterprise ATS / VMS platforms - typically $50–200k per year, designed for agencies with 500+ workers and large hospital-system clients. ExpiryEdge is purpose-built for the credential-tracking layer specifically and fits the 20–500 worker agency bracket at a fraction of that cost. Most customers run ExpiryEdge alongside a smaller ATS (Crelate, JobAdder, Tracker RMS) rather than replacing a major suite.
