How to edit, update, or archive an expiry

Change any field on an existing expiry, mark it done, archive it, or delete it.

What is it
Expiries have a state, not just a date: an active expiry can be marked Done (completed on time), Archived (hidden from your main view but kept for records), or Deleted (permanently removed). These are three different actions with different levels of reversibility.
Why / when to use it
  • Mark as Done when the renewal/task is actually completed - this feeds your completion-rate stats on Insights, so it should reflect real-world progress, not just "I don't want to see this anymore".
  • Archive when something is finished or no longer relevant but you want to keep the history (e.g. an old contract that expired and won't renew) - archived items are recoverable.
  • Delete only for records created by mistake - it's permanent and removes the audit trail, so most teams archive rather than delete.
Steps
  • From the Expirations list, click the expiry you want to change (or use its row menu).
  • On the details page, click Edit to open the same form used when creating an expiry.
  • Change any field - dates, priority, value, contacts, attachments - and click Save.
  • To mark it complete, use the Mark as Done action (this is tracked separately from archiving, and shows up in your completion rate on Insights).
  • To archive without deleting, use Archive - archived expiries are hidden from the main list but not lost, and can be restored.
  • To permanently remove it, use Delete from the row menu (this cannot be undone).
