How to apply, archive, or delete a template
Use a template while creating an expiry, or manage existing templates.
What is it
Applying a template means selecting it on an expiry's form so its custom fields appear and get filled in alongside the standard expiry fields. The values are saved on that specific expiry (as `custom_columns`/template data) - deleting the template later does not erase data already entered on existing expiries.
Why / when to use it
Steps- Archive (rather than delete) a template you're phasing out but might need again - archived templates stop appearing as options for new expiries but existing data is untouched.
- Delete only when you're sure the field structure is no longer useful anywhere - you'll be shown how many expiries currently use it before you confirm.
- When creating or editing an expiry, use the Template selector to pick a template - its custom fields appear in the form for you to fill in.
- To archive a template you no longer want to offer (without losing data already saved on expiries), click the Archive icon on its card; use Unarchive to bring it back.
- To delete a template permanently, click its Delete (trash) icon - if it's already used by expiries, you'll see how many, and those expiries keep their saved field data even after the template is deleted.
