How to add a vendor, contact, or other entity to the Directory

The Directory stores reusable contact/entity records - people, companies, vendors, clients, partners, assets, or properties - that you can link to any expiry for context.

What is it
The Directory is a lightweight CRM/asset registry built into ExpiryEdge: reusable records for the people, companies, vendors, clients, partners, physical assets, or properties that your expiries relate to. A single Directory entry can be linked to many expiries (e.g. one vendor record attached to every contract you have with them).
Why / when to use it
  • Use it whenever the same person, company, or asset shows up across multiple expiries - creating the entry once and linking it everywhere avoids retyping contact details and keeps them in sync.
  • It's different from notification Contacts on an expiry (who gets reminder emails) - the Directory is about context and reference information (who/what this deadline concerns), while notification contacts are about who gets pinged. The same person can be both.
  • Useful even for things that aren't people - track a physical Asset's warranty/serial number or a Property's deed/zoning info as a Directory entry, then link every related expiry (maintenance, insurance, inspection) to it.
Steps
  • From the sidebar, go to Directory, then click New Entry.
  • Enter the Name and choose a Type: Person, Company, Vendor, Client, Partner, Asset, Property, or Other.
  • Fill in Contact Details (email, phone, address) if relevant.
  • Depending on the Type you picked, a section of suggested fields appears (e.g. Vendors get Account Number and Payment Terms; Assets get Serial Number and Warranty Expiry) - fill in whatever applies.
  • Add Notes with any instructions you want visible wherever this record is attached to an expiry.
  • Add any extra Custom Fields (label + value pairs) not already covered.
  • Click Create Entry.
