Licence Renewal Tracking Software: A Practical Buyer\'s Guide

The word "licence" hides at least six different things. Business licences. Professional licences. Federal registrations. Software ELAs. Vehicle and equipment certifications. Trade and industry certifications. If your business touches three or more, a spreadsheet will eventually fail you. Here\'s what to look for and which tools handle it well.

What "licence" actually means in your business

Before you pick software, get clear on which of these you\'re tracking. Most businesses touch three or four.

1
Business licences & permits

General operating licences, sales tax permits, food service permits, liquor licences. Annual is most common; many run 1-4 year cycles (SBA, 2025).

2
Professional licences

Doctor, nurse, attorney, accountant, real estate agent, contractor, engineer, electrician. Issued by state boards; 1-3 year cycles.

3
Federal registrations

DEA registration (3-year cycle), FCC licences, FAA certifications, FMCSA operating authority. Each on its own clock.

4
Software licences

Per-seat SaaS, perpetual licences with annual support, enterprise licence agreements with true-up cycles.

5
Vehicle & equipment licences

Fleet registrations, DOT numbers, equipment certifications.

6
Trade & industry certifications

ISO, SOC 2, PCI-DSS, FedRAMP. Multi-year cycles with continuous monitoring.

FAQ

The renewal date is when the licence expires. The action deadline is when you have to start the renewal work - earlier, sometimes by months. A state licence that expires June 30 with a 90-day processing window has a real action deadline of April 1, not June 30. Good software calculates and alerts on the action deadline.

It depends on the licence. Late fees are common ($50 to $5,000+). Some lapses force a fresh application - 60 to 120 days for many states. For professional licences, practising while lapsed is usually a misdemeanour. For business operations, lapsed permits can void contracts and expose officers to personal liability.

Track the notice deadline, not the renewal date. Most B2B SaaS contracts use a 60-day notice period (about 40% of the market), with 30- and 90-day notice periods each accounting for about 25% (Sirion, 2025). Miss the notice window and the contract auto-renews, often with a price increase. Configure alerts to fire 30+ days before the notice deadline.

Tracking-only is cheaper and assumes you'll do the actual filing. Filing services (Harbor Compliance, Mosey for some filings, CertifyOS for clinician licensing) cost more per renewal but save staff time. Break-even depends on your compliance team's capacity. Most mid-market businesses do better with tracking software plus selective filing services for the highest-volume categories.
